Since the admin has full sharing/editing rights, it would be helpful to have them be able to do everything the owner can do so there isn't a bottleneck with every change having to go through the sheet/workspace owner. Include reports, dashboards, formulas, workflows, cross-sheet references, formatting information, or custom configurations.Workspace backups include sheet data from the workspace, not its structure. Backups keep your data secure. However, restoring your solution requires rebuilding each Smartsheet item.Backup files have a size limit of 4 GB.Any user on the plan can request a singular sheet or workspace backup. To request a recurring backup, you must be an Owner or Admin. Schedule a weekly backup from the workspace panelOn the left Navigation Bar, select Open workspace panel.Navigate to the workspace containing the item(s) you want to back up and select the kebab menu at the top right corner of the workspace panel.Select Schedule Recurring Backup. The Schedule Recurring Backup option won’t display if a workspace doesn't contain any sheets. Follow the instructions on your screen and select the checkboxes to enable recurring backups, include attachments, and receive an email notification about the backup.Select View recent backups to view backup statuses and download completed backups. Learn how to download backups.Select OK. Workspaces and Collections mentioned in this article refer to Brandfolder features. For workspaces and collections in Smartsheet, see the collections in workspaces overview.Workspace removes bottlenecks so that creatives and marketers can better plan and implement asset development and utilization. Work-in-progress items can be staged on landing pages while the assets are still being developed. Ultimately marketing projects and asset development become more agile.Workspace also integrates seamlessly with Smartsheet. This not only empowers teams to be more efficient but also provides leadership with high-level visibility into the progress of marketing projects. This insight helps leaders better plan team resources and set organizational goals.Creating a Workspace and adding team membersAt the Brandfolder level, Admins will need to select the + New Workspace button towards the top left-hand side.A new modal will appear that allows you to add a Workspace name (required), URL (required), due date, and description. Adding team members and customizing the Workspace On the Workspace, the Admin can add team members using the icon above 0 Team Members. This will open the user management modal. The settings button will allow Admins to change the Workspace settings and upload a header image. Adding reference materials to a WorkspaceAdding assets to a Workspace is similar to adding assets to Collections.Select one or more assets that will cause the bulk management toolbar to appear. Select Add to then Workspace. Once you complete this action the asset will appear in the Workspace. Assets that are added to a Workspace can serve as reference materials to help guide teams on new asset creation. Assets can include logos, masthead images, color palettes, and fonts that are used in the creation of new assets. Adding tasks and task detailsAdmins and Collaborators of a certain Workspace can add new Tasks to the Workspace using the Create asset dropdown within a section and select task. Currently, tasks are created as a generic file with a placeholder To do image. This allows for tasks to appear in integrations such as Adobe Photoshop. Selecting Create a task will open an asset modal so that the user can input more detail about this task. Task details include: Asset NameDue Date - Select a date for task completion.Priority - Low, Medium, or High.File Type - Select from common generic file types.Size or Dimensions - Freeform sizeCollections in workspaces overview - Smartsheet

2025-03-25«123456789»Comments The inability to manage access on a folder level changed our PPM deployment via Control Center. Control Center provides support with auto-provisioning, however our industry requires highly regulated access control on a project level. As an example, we have a Client, and then multiple Projects with that Client. A select set of users should only have access to a Project, not necessarily the Client. Without folder-level sharing permissions, we had to take an all-or-none approach on a Workspace level - meaning a Workspace represents a Project. This limitation is going to lead to a significant flood of Workspaces in our enterprise portfolio. If we had folder-level sharing, we could have managed Clients at a Workspace level, Projects at a folder level. It would be a very useful and fundamental enhancement to be able to share a Folder Only instead of having to share the entire Workspace. Lots of community subscribers have requested this for several years. It would be a great and very badly needed enhancement This discussion's status has recently changed to "available now", but it does not seem to be a feature to share only folders yet. Was this a mistake? This feature is definitely needed! Hi @Genevieve P. I see that Collections has been enabled as a means of enabling 'folder' permissions, and a guide I've found explains it can be achieved by adding from the Workspace menu. In the example the icon sits below the + symbol.I'm on Enterprise in Australia and have no such icon on the desktop app, although it appears in the browser version. However, the choice to add a Collections is still conspicuous by its absence.Does Australia still not have access to this function? Currently, we cannot share a single folder within a workspace. We need to be able to create a workspace and then be able to share specific folders within those workspaces with specific individuals so that they can only see their own folders and not the folders of others.
